The business problem

Changing business email looks like a small technical decision, but it affects invoices, customer relationships, contracts and access to applications. The usual failure is not user creation; it is a forgotten alias, unknown forwarding rule or DNS cutover before the destination is tested.

Warning signs

Inventory all mailboxes, aliases, groups and addresses used by websites, banks, suppliers and cloud services. Separate personal from shared addresses, identify owners and decide the destination for each address. Keep a register of systems that send password resets to the old domain.

A practical implementation plan

Create Workspace users and groups, verify domain ownership and configure SPF, DKIM and DMARC in a controlled sequence. Test a pilot mailbox before changing MX. Plan a change window and preserve access to the old mail service during reconciliation where supported.

  • Inventory mailboxes and aliases.
  • Configure DNS and authentication before cutover.
  • Test sending and receiving across providers.
  • Retain a rollback plan and old-mail access.

An SME example

A small company may treat info@ and sales@ as separate mailboxes or distribution groups. That choice changes permissions, replies, auditability and license cost. A distribution group is not automatically a substitute for a shared workflow that requires one coordinated reply history.

A practical route from business problem to operational decision

How to measure results

Measure internal and external message delivery, MFA activation, bounce rates and time to resolve employee issues. Test key customer and invoicing flows, not only one message sent to a personal mailbox.

Mistakes to avoid

Avoid changing MX before accounts are ready, deleting old mail too early, leaving inconsistent DNS records across providers or enabling unrestricted external forwarding. Contacts and calendars may also need a separate migration plan.

ORVEAX / ACTION CHECKLIST

Check before you decide

  • Inventory mailboxes and aliases.
  • Configure DNS and authentication before cutover.
  • Test sending and receiving across providers.
  • Retain a rollback plan and old-mail access.

Your next action

Create a short cutover runbook listing owner, change time, validation steps and rollback conditions. Test at least five external recipients, brief users on new sign-in and review bounces and domain authentication for two days before closing the old service.
